In-Person Events: Are We There Yet?

Looks like finally there is some good news on the horizon – with COVID restrictions being gradually eased, In-Person Events are becoming somewhat more frequent.

Are you still stuck on the fence about hosting in-person events?

Are your customers/members/prospects asking when they will be able to attend your conferences, workshops or AGM’s again?

Are they wondering when they will be able to network with other attendees?

All of us, whether we are  organizations or event service providers, want our industry to recover and get back to business as usual – albeit safely and securely.

The events industry took a huge hit in early 2020, but live events are back! Some organizations are still hesitant to host in-person events, but there are ways to meet safely in person and with the proper safety protocols in place and combine it with live webcasting to expand your reach exponentially.

For nearly 2 decades now, we have been a big part of the Events Industry, helping our clients Live Stream their events – events which were previously restricted to just in-person gatherings, but which have now fallen off considerably due to the pandemic.

Now, as the world slowly returns to in-person meetings, and we are ready to continue supporting our clients and event professionals to expand their reach, by webcasting events of all sizes and types.

According to the latest research, attending large in-person business events is safer than many other daily activities and does not increase COVID-19 spread. is so because these days, at least 75 percent of attendees will be fully vaccinated. And that, combined with improved cleaning protocols at meeting rooms and hotels makes the event safer than attending school or dining at your favorite restaurant.

If you’re longing for making those invaluable professional connections, you’re not alone. Business professionals and members of all types of organizations everywhere, are eagerly waiting to return to business as usual, but are still hesitant to travel or meet in-person due to the possible emergence of new COVID-19 variants.

Being fully vaccinated (especially if you’ve received your booster dose) combined with   maintaining proper safety habits adopted during the pandemic, should help mitigate your doubts about traveling for work and organizing or attending in-person gatherings.

Event management professionals have now concluded that hybrid events – mixing in-person events with live webcasting, are here to stay.

Given all of the chatter about in-person gatherings, it’s important to have all the facts at your disposal.

Here are 7 reasons why it is safe to meet in-person with the right safety precautions in place:

  • COVID-19 infection rates at events in late Summer 2021 were nearly 90 percent lower than the national average.
  • On average, more than 75 percent of event attendees these days, at events of all sizes, are fully vaccinated, which makes it safer to attend than many daily activities like going grocery shopping.
  • Breakthrough cases for fully vaccinated individuals are rare, and even if one does get infected, it’s highly unlikely to have a serious outcome.
  • More and more meeting and event planners are now requiring proof of vaccinations from in-person attendees, making it much safer to attend.
  • Many countries are considering or have already implemented booster shot campaigns as well as international vaccine passports.
  • Improved cleaning and safety protocols, from airlines to hotels and convention centers,  have reduced the risk of transmission during travel.
  • Physical distancing guidelines can be implemented to help reduce risk of transmission at in-person events, as do indoor masking requirements and providing hand sanitizer at the entrance.

More and more meeting and event planners are quickly starting gear up their efforts, with almost half of them currently booking or sourcing new in-person events!

But that being said, why would any meeting planner or conference host wish to restrict themselves to just the in-person model?

Planning and hosting a hybrid event, combining an in-person meeting with live webcasting will markedly enhance the value you will offer your audience – not the least of it being the sheer convenience of eliminating travel time and costs, as well as encouraging individuals who are still hesitant to expose themselves to a risk of infection, however minimal.
